Treasurer and Public Officer - Job Description

The Treasurer is the chief financial management officer for ACT Walking for Pleasure Inc (the “Club”). The Public Officer is the contact person between the Club and the ACT Registrar General’s Office. It is a requirement by law of all incorporated bodies to have a Public Officer.

Responsible To

The Treasurer is directly responsible to the President and Committee of the Club. The Public Officer is responsible to the Auditor General.

Responsibilities and Duties

  • Keep the Club’s account books up to date.
  • Keep a proper record of all payments and monies received.
  • Make sure a Profit and Loss Statement and Balance Sheet is prepared, presented at each meeting and is understood by all committee members and general members if required.
  • Show evidence that the money received is banked and documentation is maintained for all monies paid out.
  • Ensure that information for an audit is prepared each year.
  • Arrange the audit.
  • Give Treasurer’s Report at regular meetings.
  • Produce an annual financial report for the Annual General Meeting that is available for all members present.
  • Send out accounts.
  • Pay bills.
  • Complete the annual return for the Auditor General’s Office and attaches an original copy of audited accounts. Each year the Auditor General will send a letter giving a date when this requirement is to be met.

Knowledge and Skills Required
Ideally, the Treasurer is someone who is:

  • Well organised.
  • Able to allocate regular time periods to maintain the books.
  • Able to keep good records.
  • Able to work in a logical orderly manner.
  • Aware of information which is needed to be kept for the annual audit.
  • As Public Officer be aware of the Auditor General’s requirements of an Incorporated Body.
  • Able to operate and maintain data in the computer based accounting program MYOB.

The program, training and help are available from the Club.

Estimated Time Commitment Required

The estimated time commitment as the Treasurer of the Club is 2 hours per week.
